How to Migrate to Cloud Accounting Successfully#
Why Move to the Cloud?#
Legacy desktop accounting software limits your business. Data is trapped on a physical hard drive, backups are manual, and collaboration with your CA requires sending bulky backup files back and forth.

The 4-Step Migration Process#
Migrating financial data can be intimidating, but following a structured process ensures nothing is lost in translation.
Step 1: Clean Up Legacy Data#
Before migrating, clean your existing books. There is no point in migrating messy data into a shiny new system.
- Reconcile all bank and credit card accounts to the current date.
- Write off bad debts and clear old, uncollectible AR/AP balances.
- Ensure your trial balance matches your last filed tax return.
Step 2: Choose the Cut-off Date#
Timing is everything. Do not migrate in the middle of a month. The best time to migrate is at the start of a new Financial Year (April 1st). The second best time is the start of a new quarter. You will extract the Trial Balance, Accounts Receivable aging, and Accounts Payable aging as of the day before your cut-off date.
Step 3: Map the Chart of Accounts (COA)#
Your new cloud software will have its own default Chart of Accounts. You must map your old ledger accounts to the new ones. This is the perfect time to optimize. If your old COA had 500 accounts and was overly complicated, consolidate them down to 100 streamlined accounts in the new system.
Step 4: Import and Reconcile#
Import the opening balances (the Trial Balance from Step 2) into the new software. Once imported:
- Run a Trial Balance in the new software.
- Compare it side-by-side with the Trial Balance from the old software.
- They must match to the penny. If they don't, you have an import mapping error that must be fixed before you process any new transactions.
Post-Migration Best Practices#
Once live on the cloud, immediately set up Bank Feeds to automate data entry. Train your staff on using the mobile app to capture expense receipts on the go. Finally, invite your CA as an "Advisor" user so they can review your books and file taxes without ever asking you to email a ledger again.
