Streamline Your Accounting with Tally Prime AI Automation: Auto-Importing Invoices from GSTR-2B#

The Manual Data Entry Nightmare#

If your business processes hundreds of purchase invoices every month, your accounting team is likely spending days manually typing invoice numbers, dates, GSTINs, and tax amounts into Tally. Not only is this a massive waste of human capital, but manual data entry is also highly prone to typographical errors, leading to GST mismatches and lost ITC.

Enter Tally Prime AI Automation#

With the latest updates to Tally Prime and connected third-party AI APIs, the manual purchase entry process is virtually eliminated. You can now pull data directly from the government's GST portal into your books.

How It Works:#

  1. API Integration: Tally Prime connects directly to the GST portal via licensed GSP (GST Suvidha Provider) APIs.
  2. Fetching GSTR-2B: With a single click, the system pulls your entire GSTR-2B JSON file for the month. This file contains every single invoice uploaded by your registered vendors.
  3. AI Mapping: The AI engine reads the GSTIN on the invoice, matches it with the 'Sundry Creditor' ledger in your Tally, and creates a draft purchase voucher. It automatically maps the IGST/CGST/SGST amounts to the correct tax ledgers.
  4. Bulk Verification: The accountant reviews a dashboard showing the 600+ draft entries. If the total matches the physical invoices, they simply click "Approve All".

Why You Need to Implement This#

  • 100% ITC Accuracy: Because the entry is created from the portal's data, your books will match GSTR-2B perfectly, eliminating the month-end reconciliation headache.
  • Time Savings: A task that took 3 days can now be completed in 15 minutes.
  • Fraud Prevention: It instantly highlights if a vendor sent you a physical invoice but failed to upload it on the portal.

A Note on Claims and Expectations#

The benefits above describe the intended outcome of this kind of workflow. Actual results depend on your setup, your vendors' filing behaviour and the tool you use. Time saved and matching accuracy will vary, and a human review step remains part of a sound process. Treat the figures as indicative, and confirm capabilities with your software provider before changing your process.

What GSTR-2B Actually Represents#

GSTR-2B is a statement built from the invoices your suppliers have reported on the GST portal. So it shows what suppliers have declared, not what you physically received. That distinction is the source of both the benefit and the risk of importing from it:

  • Benefit: the data is structured, so it can be pulled in bulk instead of typed.
  • Risk: an invoice that is in GSTR-2B may still be wrong, duplicated, or not relate to goods or services you received. An invoice you did receive may be missing if the supplier has not reported it.

Illustrative Workflow for a Month-End Import#

The steps below are a general accounting process, not instructions for specific menus or buttons in any software.

  1. Fetch the GSTR-2B data for the month through your integration.
  2. Let the tool create draft purchase entries as described above.
  3. Before approving, compare the draft total with your physical or emailed invoices.
  4. Investigate differences one by one: entries in the portal data without an invoice on file, and invoices on file without a portal entry.
  5. Approve verified entries and hold back the unresolved ones.
  6. Record the reasons for held items so they can be followed up with vendors.

Worked Example (Illustrative Numbers Only)#

Suppose a business expects 600 purchase invoices in a month (illustrative).

  • The import creates 580 drafts (illustrative).
  • The accountant matches 570 to invoices on file. That leaves 10 drafts with no invoice and 30 invoices on file (600 minus 570) with no draft.
  • The 10 drafts need checking: are they genuine purchases whose paperwork is delayed, or entries that do not belong to the business?
  • The 30 missing invoices need follow-up with suppliers who may not have reported them yet.

Approving all 580 without checking would put 10 unverified entries into the books. This is why review still matters even when data entry is automated.

Common Mistakes to Avoid#

  • Approving in bulk without sampling. "Approve All" is convenient, but reviewing the exceptions first is safer.
  • Wrong ledger mapping. Automatic matching of a GSTIN to a creditor ledger can fail when a vendor has more than one ledger or a new vendor is not yet created. Check the items that did not match.
  • Ignoring vendors with no portal entry. A physical invoice missing from the portal data is a follow-up item, not something to book and forget.
  • Skipping the tax-ledger check. Verify that IGST, CGST and SGST amounts landed in the right ledgers, and that the split matches the nature of the supply.
  • Assuming the books now match perfectly. Timing differences between months and later amendments by suppliers can still produce differences. Whether and how much ITC can be claimed on a particular invoice depends on the GST rules and your facts, so do not treat the import as a substitute for that judgement.

Month-End Checklist#

  1. Import completed for the correct month and correct GSTIN.
  2. Draft count and total compared with invoices on file.
  3. Vendors and ledgers that did not match have been reviewed.
  4. Tax ledgers spot-checked.
  5. Exceptions listed and assigned for follow-up.
  6. Approved entries reconciled to the portal statement.
  7. Access to the integration limited to authorised staff.
